Frequently asked questions
Short answers to the questions that actually recur — editions, roles, quotas, scheduling behavior, and data.
Short answers, with pointers to the full pages. This list grows from questions that actually recur — not speculation.
Which edition am I on — SaaS or Community?
If your workspace address is under orkyo.app, you are on SaaS. If your organization runs
Orkyo on its own servers, it’s Community. The product is the same; the differences are
hosting, tenancy, and tiers — see SaaS or Community?.
Why can’t I see Settings (or Administration)?
Roles. Viewers read; Editors get Settings; only Admins get Administration. Details in Users and roles.
Why was my invitation / site / space creation refused?
Most likely a quota ceiling. Check Administration → Usage & Limits — on SaaS, quotas follow your plan.
Why won’t my request schedule onto a particular space?
Because the model forbids it, and Orkyo names the reason: Required capability missing, Resource is overbooked, Overlaps with a holiday, and friends. Start at How capability matching works and Scheduling and availability.
Auto-schedule left requests unscheduled — is that a bug?
No — it’s a diagnosis. Every unplaced request carries a reason (No compatible space, Insufficient capacity, …) that tells you what to fix in the model. See Auto-scheduling.
Utilization shows “No capacity configured for this period.” — why?
Utilization is scheduled time ÷ available time, and available time comes from per-site Scheduling settings — working hours, weekends, holidays. Configure those and the percentage appears.
Can I change a criterion’s data type or a field’s key later?
Not once values exist — that would corrupt recorded data, so Orkyo locks it and says so. Create a new criterion/field and migrate deliberately. See Criteria and capabilities.
How do I get my existing data in?
Per page via CSV/JSON (Import and export), or as one validated configuration file via Presets. The walkthrough is Import your existing data.
How do I get my data out?
Three ways: per-page exports, the organization-wide JSON export (Organization settings), and — for BI tools — the read-only Reporting API.
Is there an audit trail?
Yes — sign-ins, admin changes, and support access, under Administration → Audit Log. Tier-gated on SaaS, always on in Community.
