AI assistant

Ask about your schedule, get help with conflicts, let the assistant open the right page, and keep your conversations.

The AI assistant answers questions about your workspace and helps you to resolve conflicts. It reads your schedule, and it can open a page to show you what it found. It cannot change your schedule. When a change is necessary, the assistant shows you the change and you decide.

The assistant is available on the Professional plan and the Enterprise plan. In the Community Edition it is always available.

What you must supply

The assistant uses your own Anthropic API key. Orkyo does not supply a key and does not pay for the usage. Your workspace administrator puts the key into Orkyo one time.

Your messages, and the workspace data that the assistant reads to answer them, go to Anthropic. This happens under your own agreement with Anthropic. Anthropic bills the usage to your key.

Start a conversation

  1. Select the robot icon in the top bar.
  2. Write your question.
  3. Select Send.

The assistant tells you what it does while it works. It can read requests, resources, and conflicts before it answers.

The robot icon is not visible if you do not have access, or if your workspace has no key. Speak to your administrator.

Let the assistant show you a page

The assistant can open a page or a record on your screen. If you ask where something is, or the assistant names a request that you want to look at, it opens the page for you. The conversation stays open, and the assistant continues to answer.

This changes only what is on your screen. It changes no data in your workspace, so the assistant does this without a question. You can go to a different page at any time.

Saved conversations

Orkyo saves your conversations. A conversation is still there after you reload the page, and it follows you to a different device.

Only you can read your conversations. A different person in your workspace cannot see them, because a conversation can contain data that only you can see.

  1. Select the history icon in the panel to open Saved conversations.
  2. Select a conversation to continue it.
  3. Select New conversation to start again.

Orkyo keeps your 20 most recent conversations. When you start a new conversation and you have 20, Orkyo deletes the oldest one. To delete a conversation immediately, select the delete icon next to its title. A deleted conversation cannot be recovered.

Make the panel wider

Drag the left edge of the panel to change its width. Orkyo remembers the width on this device. The width is a property of your screen, so a different device keeps its own.

The edge is also a control for the keyboard. Select the edge, then use the arrow keys.

Get help with a conflict

  1. Open Insights, then open the Conflicts tab.
  2. Find the conflict.
  3. Select Ask the assistant.

The assistant opens with the conflict already in view. It reads the request, then tells you what is wrong and what can correct it.

Approve a change

The assistant can propose a change, for example a new time for a request. The proposal shows the values that will change. Nothing changes until you select Apply.

  • Select Apply to make the change. Orkyo applies it as if you made it yourself, with the same permissions and the same checks.
  • Select Not now to refuse the change.

After you apply a change, the assistant looks at the result and tells you if the problem is solved.

If you cannot edit the schedule, the assistant explains what to change but shows no Apply button. Ask a person who can edit.

Your limits

Two different limits can apply. Most workspaces use only the first.

Your token allowance

Anthropic charges for the tokens that a conversation uses. Your administrator can give you a token limit for each month. The panel shows how many tokens you used.

The count returns to zero at the start of each calendar month. If you reach your limit, the assistant stops until the next month, or until your administrator increases the limit.

A daily limit on interactions

Some workspaces also have a limit on the number of interactions for each day. The panel counts down and shows “AI interactions remaining: 7”. The count starts again at the start of each day, in UTC.

A new conversation does not give you more interactions. The limit applies to you, and not to one conversation.

Your administrator can also set a limit for the whole workspace. The panel then shows “AI interactions remaining: 20 (whole workspace)”. Everybody uses that number together, so it can decrease while you do nothing.

The panel always counts down the limit that stops you first. If your own limit has more interactions than the workspace limit, the panel shows the workspace limit.

When you reach your own limit, the assistant shows “You have used your AI interactions for today. Your allowance returns tomorrow.” When the workspace reaches its limit, the assistant shows “This workspace has used its AI interactions for today. The allowance returns tomorrow, or an administrator can raise the daily limit.”

The message box stops accepting text until you have interactions again.

Demo workspace. The public demo has a daily limit, because many people use the same demo account. Orkyo counts each visitor separately there. When you reach the limit, the panel shows “Demo AI limit reached. Try again tomorrow or request a guided demonstration.” Your own workspace has no daily limit unless your administrator sets one.

What the assistant can and cannot do

The assistant can:

  • Read requests, resources, and conflicts in your workspace
  • Explain why a conflict occurred and what can correct it
  • Open a page or a record on your screen
  • Propose a change for you to approve

The assistant cannot:

  • Change your schedule without your approval
  • Read data from a different workspace
  • Read the conversations of a different person
  • See more than you can see — it uses your own permissions

Accuracy

The assistant can make mistakes. Check a proposal before you apply it. The proposal always shows the values that will change, so you can compare them with what you expect.
