Users and roles
Invite people into your workspace, choose their role — Viewer, Editor, or Admin — and manage access over time.
Administration → Users — “Manage user access and roles. Invite new users, update permissions, and monitor user status.”
The roles
Three active roles, one off switch:

| Viewer | “Viewers have read-only access to view utilization and plans.” |
| Editor | “Editors can create and modify utilization, requests, and spaces but cannot access settings.” |
| Admin | “Admins have full access to all features including user management and settings.” |
| Inactive | “No access - user account disabled” — the account stays, access stops. |
A practical default: most planners are Editors; stakeholders who only read schedules are Viewers; keep Admins few. Note that the shared-definition pages under Settings (criteria, templates, presets, scheduling) are admin-and-editor territory, while everything under Administration is admin-only.
Inviting a user
Invite User — enter the email, pick the Role, Send Invitation. The invitee receives a personal link to the Accept Invitation page (the signup flow); invitations expire, and the list tracks pending ones with Resend invitation and Cancel invitation actions.
Changing a role
Edit user role → pick the New Role → Save Changes. The dialog spells out the consequential ones:
- Promoting to Admin: “⚠️ This will grant full administrative access including the ability to manage other users.”
- Setting Inactive: “⚠️ This will immediately revoke all access for this user.” — “Inactive users cannot log in and have no access to the system.”
Inactive vs Remove: deactivation is reversible and keeps the user’s identity attached to their history; Remove user takes them out of the organization entirely (they could be re-invited later). Prefer Inactive for departures you may need to audit.
