See your schedule in Outlook
Subscribe to your Orkyo schedule from Outlook, Google Calendar or Apple Calendar with a live feed that keeps itself up to date.
Orkyo can publish your schedule as a calendar feed. You add the address to Outlook once, and your calendar keeps itself current — no repeated exports, no file to re-import when something moves.
The feed is read-only: scheduled work appears in your calendar, but changes you make in the calendar do not travel back into Orkyo. Rescheduling still happens in Orkyo.
:::note On Orkyo Cloud, calendar subscriptions are included in the Professional and Enterprise plans; on Free, the dialog offers the upgrade instead. The Community Edition has no plans — the feature is always available. See Plans, tiers and billing. :::
Create your feed address
- Open Utilization and select the calendar-plus icon in the top bar (on a phone it is Subscribe in calendar in the ⋮ menu).
- Give the subscription a name you will recognise later — “Outlook, work laptop” is more useful than “Calendar” when you have two devices.
- Select Create feed.
The feed covers the site you have selected, so pick the site before creating one. If no site is selected, Create feed stays disabled.
The address appears once. Copy it before leaving the page: Orkyo stores only a fingerprint of it, so it cannot be shown again. If you lose it, create a new subscription and revoke the old one.
:::caution Anyone holding the address can read the schedule — it is a key, not a link. The feed covers the scheduled work of the site you chose, or of the whole organization for an All sites subscription, not only the work assigned to you. Do not post it in a shared document or a chat channel. If it does get out, revoke that subscription; the address stops working immediately. :::
Add it to your calendar
Outlook (web or new desktop app) Go to Add calendar → Subscribe from web, paste the address, give the calendar a name and select Import.
Google Calendar Under Other calendars, choose From URL, then paste the address.
Apple Calendar Choose File → New Calendar Subscription, paste the address, and set how often it should refresh.
Orkyo asks calendar clients to refresh hourly. Each client decides for itself how closely to follow that — Outlook in particular can take several hours to pick up a change, which is a limitation of Outlook, not of the feed. If you need to see a change immediately, look at the Utilization calendar in Orkyo.
What is in the feed
Scheduled requests you can see, from three months back to twelve months ahead. Each event carries the request’s name, its time window, and the resources assigned to it as the location. Unscheduled requests do not appear — there is no time to put them at.
A subscription carries its site’s scheduled work plus any work that is not tied to a particular site. Subscriptions created before feeds became site-scoped cover every site; they are listed as All sites so you can still revoke them.
Revoking a subscription
Open the same dialog and select the bin icon next to a subscription. The address stops working at once and the calendar stops updating. Revoking one subscription leaves your others — and your login — untouched, which is why a separate subscription per device is worth the few extra seconds.
Revoking keeps working even if your plan no longer includes the feature, so a subscription can never outlive your ability to switch it off.
