QR codes on resources

Orkyo can connect a physical object to its resource. You put a QR sticker on a machine or a tool and link the sticker to the resource. A later scan of the sticker opens the status of that resource.

Orkyo reads the stickers that you already have: bought label rolls, or asset tags from a vendor. Orkyo reads QR codes only. It does not read barcodes. Orkyo does not create or print codes. Orkyo stores the text of the code exactly. It never opens a web address that a code contains.

Which resources can have QR codes

Each resource type has the setting Can have QR codes. The setting is under Configuration → Resource Types, in the edit dialog of the type. An Admin can change it.

The setting is on for a new type. Types that existed before this feature, and types from the catalog, have the setting off when they have directory details, for example people.

When the setting is off, the scan actions for that type are not available. Codes that are already linked stay in Orkyo. A scan of such a code shows “Scanning is off for this resource type.” The scan does not show the name of the resource.

Link a sticker to a resource

The edit dialog of a resource has a QR codes section. The section lists the linked codes. One resource can have more than one code, for example a replacement sticker.

An Editor sees the Scan to link button and a remove button for each code.

1. Open the edit dialog of the resource.
2. Click Scan to link. The camera opens.
3. Hold the sticker inside the frame.

The result depends on the code:

The scanned code	Result
Is not linked	Orkyo links the code to this resource and shows “QR code linked”.
Is linked to this resource	Orkyo shows “This QR code is already linked to this resource.”
Is linked to a different resource	Orkyo asks “Move QR code?”. It names the other resource when scanning is on for its type. Move link moves the code here.

A code links to one resource only. Orkyo never moves a link without the confirmation.

Scan a sticker

The Scan QR code button in the top bar opens the camera. The button is available on every screen size, the phone included.

The scanned code	Result
Is linked	Orkyo opens the status of the resource.
Is not linked, and you are an Editor or an Admin	The Link QR code dialog opens. You select the resource that carries the sticker. A Resource type filter shortens the list.
Is not linked, and you are a Viewer	Orkyo shows “This QR code is not linked to a resource.”
Belongs to a type with the setting off	Orkyo shows “Scanning is off for this resource type.”

With the Link QR code dialog you label many resources fast. One scan and one selection link a sticker.

The status of a resource

The status shows one resource at a glance:

• Now: the booking in progress, or “Not booked”
• Next: the next booking in the next 30 days
• Absence: an active absence and its end, or “Available”
• Bookings with conflicts, next 30 days: how many bookings of this resource have a conflict
• Utilization, last 30 days: the average daily allocation

The status is read-only for all roles. An Editor or an Admin sees an Edit button, which opens the edit dialog of the resource. The Show status action in the row menu of a resource list opens the same status.

Camera access

Open Orkyo over HTTPS to use the camera. If the camera is not available, the scanner shows the cause:

Message	Cause
“Scanning needs HTTPS. …”	Orkyo opens over plain HTTP. This occurs on some self-hosted sites.
“Camera access is blocked. …”	The browser has no permission to use the camera for this site.
“No camera found on this device.”	The device has no camera.
“The camera is in use by another application.”	A different application uses the camera.

The Community Edition needs a TLS reverse proxy for scanning. The operations guide of the release bundle describes it.
