People, teams and skills

Manage people as schedulable resources — skills, availability, absences, teams, job titles, and departments.

The People page (“Manage people, teams, and absences”) treats people as first-class resources: they carry skills, working availability, and absences, and Orkyo matches them to requests exactly as it matches spaces. Four tabs: People, Teams, Job Titles, Departments.

People

The list shows each person’s name, email, job title and department. Sort and filter from the column headers, like every list in Orkyo — see Sorting and filtering lists.

Add Person / Edit Person captures the profile:

  • Name (required), Email, Description, Notes.
  • Job Title and Department — from the reference lists on the other tabs.
  • Allocation Mode — how their time is consumed: Exclusive (one assignment at a time) or Fractional (assignments consume a percentage of availability, so several can coexist until the budget is spent).
  • Base Availability (%) — how much of the working calendar this person is available; a half-time colleague is 50.
  • Home Site and Available for other sites — where they normally work and whether cross-site assignments are allowed. Site mismatches surface in validation.

Skills

A person’s Skills section assigns criteria — the same shared vocabulary spaces use. A request requiring Forklift license will only validate against people who carry it.

Absences

Add Absence records time away, with a TypeVacation, Sickness, Unavailable, Training, Maintenance, or Custom — an optional Reason, and a start and end date. Absences flow straight into scheduling: assignments that overlap one are flagged, and auto-scheduling plans around them. See Scheduling and availability.

Teams

Teams are resource groups for people — cluster by crew, shift, or function. Like space groups, teams keep large rosters navigable and can carry shared capabilities.

Job Titles and Departments

Reference data used by person profiles. Departments are hierarchical (a department can have a parent), so the org tree can mirror reality. Maintaining these as lists — rather than free text — keeps filtering and reporting consistent.

Where people show up

  • Utilization → People — one timeline row per person, showing assignments against their availability.
  • Requests → People section — assign who is needed; Orkyo validates continuously (“No issues found” when clean).
  • Insights — “People utilization” is one of the KPI cards and trend charts.
